HVAC Dispatch Software: Buy One or Build Your Own?

HVAC dispatch software assigns techs and crews to jobs, keeps the board full, and gets the right skills to the right address. Under about five trucks, buy Jobber or Housecall Pro and move on. Past that, per-seat pricing and boards built for two-hour service windows start fighting how your shop actually runs — and the buy-vs-build math changes.

This post is the honest version of that conversation: what dispatch actually involves in an HVAC operation, what the off-the-shelf boards do well, exactly where they stop, and what the crossover math looks like when they do.
Dispatch in an HVAC shop is three problems wearing one calendar
“Dispatch” sounds like one job. In an HVAC shop it’s three different scheduling problems that happen to share a screen:
1. Service calls. One tech, a two-to-three-hour window, four or five stops a day. The problems here are window accuracy, drive time between stops, and matching the tech’s skills to the equipment — you don’t send your newest hire to a three-stage heat pump throwing a fault code.
2. Maintenance-agreement routes. Planned work, not reactive work. The game is route density: filling shoulder-season weeks with tune-ups clustered by zip code, and making sure agreement customers get their visits before renewal. This work is movable, which is exactly what makes it valuable — it’s the filler that keeps trucks earning between emergencies.
3. Install days. A changeout or new-system install is the opposite shape from a service call: one job that consumes one or more crews for the entire day. Equipment has to be staged, the crane or the helper has to line up, and a callback can’t bump it. One booking slot is one crew, all day.
An owner of a $2M+ install business put the difference bluntly on a call with us: plumbing and HVAC service is “booking one guy for these two to three-hour time windows four to five times a day,” while install work is crews going out for the whole day — “it’s too hard to have those slots” in the same calendar. Most HVAC shops of any size run both models at once. That’s the core dispatch problem: two incompatible shapes of work, one board.
What the off-the-shelf boards do well
Credit where it’s due — the mainstream platforms have solved the service-call side of dispatch pretty thoroughly:
- Drag-and-drop day boards. Jobber, Housecall Pro, and ServiceTitan all give you a visual day view where the dispatcher drags jobs between techs. For window-based service work, this is genuinely good.
- Tech notifications and “on my way” texts. The job hits the tech’s phone, the customer gets a heads-up with a photo. Table stakes now, and they all do it.
- GPS and status tracking. You can see who’s en route, on site, or finished — which is most of what “where’s Marcus?” calls used to be about.
- The paper trail. Job notes, photos, and the invoice live on the work order. When the customer calls back in February about the November visit, the history is there.
If your shop is three trucks doing residential service and the occasional changeout, this is all you need. Buy it, set it up properly, and put your energy into answering the phone faster. We say that as a company that makes money building the alternative.
Where they stop
Three walls, and shops hit them in roughly this order.
Wall 1: per-seat pricing grows with your headcount, forever
Every mainstream platform charges by the seat, and the escalators kick in exactly when you start growing.

Run the ten-tech scenario: a 10-tech shop on ServiceTitan at the estimated mid-tier is roughly $345 × 10 × 12 + ~$15K implementation ≈ $56K in year one. A commercial service operator we spoke with had a comparable platform quote in hand and did the same math out loud: “That’s $57,000 a year… with 14 techs. What happens when we go to 50 techs?” That’s the per-seat trap in one sentence — the bill scales with your growth whether or not the software does.
One more gotcha the review sites rarely mention: API access is gated behind the top tiers. On Jobber, custom integrations require Plus (from $280/mo annual for 5 users, $371 for 15). On Housecall Pro, it’s MAX ($299/mo). If you ever want your dispatch board talking to anything else — your phone system, a load-calculation tool, a customer-facing booking page — the entry ticket is the expensive plan, before you’ve written a line of integration code.
Wall 2: the board doesn’t understand full-day install work
This is the wall install-heavy shops hit hardest, and it’s the one no amount of tier-upgrading fixes.
A dispatch board built for service windows thinks in appointments. Install work happens in crew-days. The question a growing install operation asks every morning is not “what’s on the calendar?” — it’s “how many crew-days are open this week, and where?” The mainstream boards simply cannot answer it, because a full-day job with a three-man crew looks, to the software, like three overlapping appointments.

The same owner described his actual workflow for finding an open slot: go into the app, “physically click each day and then scroll through every single lead to see if they have an open slot. Okay, no, check the next day, check the next day.” Eight crews, seven-figure revenue, and capacity planning is done by clicking through calendar days one at a time.
Wall 3: you patch the software gap with a salary
When the board can’t hold the picture, a person holds it instead. That person is a dispatcher or scheduler, and in 2026 they cost real money: service dispatchers average about $67K/year, field-service schedulers about $71K/year, and even entry-level dispatch runs around $54K (Glassdoor / SalaryExpert / ZipRecruiter, 2026). Fully loaded with taxes, benefits, and overhead, figure ~$70K per person.
The owner quoted above sees it across his industry: companies “hiring schedulers for 50, 60K a year per branch, maybe multiple” — larger outfits carrying three or four per area, “probably spending half a million dollars in schedulers a year instead of the CRM just doing it for them.”
Nothing against dispatchers — a good one is worth every dollar when they’re doing judgment work: sequencing a tricky day, calming an angry customer, deciding which job slips when a truck breaks down. The problem is when a $70K salary is spent clicking through calendar days because the software can’t count its own open slots. Buy or build: the truck-count framework
Here’s the decision framework we actually walk through with HVAC owners, with the honest answer at each stage:

The crossover math is simple enough to do on a napkin. Take your annual platform spend (a 15-seat Jobber Plus shop pays $4,452/year on annual billing; a 10-tech ServiceTitan shop is in the $40K–$56K/year range on 2026 estimates). Add the loaded cost of any dispatch labor that exists mainly to compensate for the board — ~$70K per person. That’s your annual cost of staying put.
Against that, a focused custom dispatch build is a one-time, fixed-scope project — no per-seat meter, no bill that jumps when you hire. For a shop carrying one dispatcher-as-workaround plus a five-figure platform bill, the payback window is usually measured in months, not years. For a three-branch operation carrying a scheduler per branch — call it $165K/year at $55K each, before overhead — the question stops being whether custom pays back and becomes why the check is still being written.
And to be clear about the other side of the ledger: if your bill is a couple hundred dollars a month and your office manager runs the board in twenty minutes each morning, the crossover math says stay put. Most shops under five trucks should never have this conversation.
What a custom dispatch layer actually looks like
The biggest misconception is that “build” means replacing your CRM. It usually doesn’t — and shouldn’t, at least not first.
The pattern that works is a dispatch layer on top of the platform you already run. Jobber, Housecall Pro, or ServiceTitan keeps doing what it’s good at — customer records, quoting, invoicing, payments — and a custom layer sits beside it, connected through the API, doing the one thing the platform can’t:
- A real-time crew-day view. Not appointments — open and filled crew-days across the week, per branch. The “how many slots are open Thursday?” question answered in one glance instead of a click-through-every-day expedition.
- Job shapes the board understands. A two-hour service window, a maintenance route stop, and a full-day two-crew install are different objects with different rules, not the same appointment block in three sizes.
- Two-way sync with the CRM. A job moved in the custom board updates the platform; a job booked in the platform claims the crew-day. One source of truth, no double entry. - The scheduler math done by software. Open slots counted, conflicts flagged, install days protected from getting nibbled by service calls.

Both give you a working dispatch board, customer records, and invoicing for less than the cost of one service call a month. At that size, custom software is overkill — the off-the-shelf boards handle a two-or-three-truck day fine.
Entry pricing starts around $21–$59/month for one user on Jobber or Housecall Pro (annual billing, verified July 25, 2026). Mid-tier configs that most service shops actually need run $105–$299/month depending on team size — Jobber now prices each plan by user bracket. ServiceTitan is quote-only; third-party 2026 estimates put it around $245–$500 per tech per month plus a one-time implementation fee of $5K–$15K for shops under 10 techs. The number to watch is the per-seat escalator: Jobber adds $29/user past your chosen config (brackets top out at 15 seats), Housecall Pro MAX adds $35/user past 8, so the bill grows every time you hire.
Mostly no — not the way install-heavy shops need. Off-the-shelf dispatch boards are built around the service-call model: one tech, one short window, several jobs a day. A changeout or new-construction install is the opposite shape — one job that eats one or more crews for the whole day. The boards will let you block the time, but they can't answer the question that matters: how many crew-days are actually open this week? Owners end up clicking through every day by hand or paying a scheduler to hold the picture in their head.
When the math crosses over. Three signals: your per-seat software bill is a five-figure annual line item and climbing with every hire; you employ one or more dispatchers (average pay around $67K/year in 2026) mostly to work around what the board can't see; or your mix of service windows, maintenance routes, and full-day installs no longer fits one generic calendar. Below roughly five trucks, none of that applies — buy off the shelf. A custom layer usually makes sense as an addition to your existing CRM before it makes sense as a replacement.
