Search “crew scheduling software” on Google right now and the number one result is not a vendor. It is a Reddit thread from r/Construction about running 20 crews on Excel.
That should tell you something before any product page does.
Crew scheduling software is software that assigns whole crews to full-day or multi-day jobs and shows you, in real time, which crews are open and which are filled. That second half is the hard part, and it is the part almost nothing on the market actually does.
We build scheduling integrations for home services businesses on Jobber, Housecall Pro, and ServiceTitan, so we see the insides of these calendars weekly. This guide is the map we wish existed: what each tool really does for crews, where it stops, and what to do at each company size.
Why crew scheduling breaks in normal field service software
Almost every field service platform was designed around a specific unit of work: one tech, one short time window, several visits a day. Plumbing service calls. HVAC tune-ups. That model is dispatch, and the software is genuinely good at it.
Install businesses run on a different unit: the crew-day.
“It’s a full day booking. So one booking slot is essentially just one crew. One crew for that whole day,” the owner of a $2M coatings business told us.
The same owner drew the line between the two worlds better than any product page we have read:
“Plumbing and HVAC space is so different because you’re booking one guy for these two to three hour time windows four to five times a day. Where construction companies that just have crews going out, whether you’re a pool builder or a company that just does single visits, it’s too hard to have those slots.”
And the crew-day is not even a clean unit, because big jobs eat more than one:
“Just because we have eight crews doesn’t mean we’re doing eight jobs that day. Jobs one through four could take two crews each.”
So the question an install owner actually needs answered every morning is: how many crews are open on Thursday? Not “what appointments exist,” but open versus filled, in real time, across every crew.
Time-slot dispatch software cannot answer that question. It can only show you a wall of colored calendar blocks and let you count them yourself. That is the break, and it is structural, not a missing feature toggle.
The honest tool table
Here is what the commonly recommended tools actually are, what each costs, and what each one really does for crew scheduling. Pricing is from each vendor’s published pricing or, where noted, the vendor’s own stated averages. Last verified 2026-07-27.

Jobber: great CRM, calendar built for two crews
We build on Jobber’s API and recommend Jobber constantly, so read this as a friendly diagnosis, not a hit piece. Quoting, invoicing, payments, customer communication: strong. But hear how the coatings owner above described the scheduling side:
“Jobber is a great CRM for like a two crew company on the calendar side. Everything else on it is great, but the scheduling side… we have not found this type of like, really, the schedule talking to crews at all.”
Checking availability in Jobber at 8 crews looks like this:
“Right now, the cleanest way is to go on the app and physically click each day and then scroll through every single lead to see if they have an open slot. Okay, no, check the next day, check the next day.”
Jobber’s own published pricing (July 2026) puts team plans between roughly $169 and $599 per month depending on tier and included seats, with extra seats billed per user. Fair value for the CRM. Just do not expect the calendar to answer “how many crews are open Thursday.”
ServiceTitan: a real crew product, at enterprise weight
Credit where due: ServiceTitan is the one mainstream platform that has shipped an actual Crew Scheduling product, documented on its roofing product pages (2026). You create crews with designated leads, see a one-week availability calendar, and assign crews to multi-day jobs.
The catches are the usual ServiceTitan catches. It is aimed at roofing and exteriors operations inside the ServiceTitan ecosystem, pricing is quote-only, and the platform is a heavyweight migration built for companies with office staff to run it. If you are a $10M+ roofing operation already on ServiceTitan, look at it seriously. If you are a $2M coatings or fencing company on Jobber, it is a platform change, not an add-on.
Housecall Pro: dispatch-first, like Jobber
Housecall Pro’s published pricing (2026) runs $59 to $299 per month billed annually across Basic, Essentials, and MAX. It is a solid service-visit CRM with the same structural shape as Jobber: time-window dispatch, tech-based calendar, no crew capacity view. One extra caution for install shops planning to wire anything custom into it: API access is gated to the MAX tier.
Connecteam: shift scheduling is not job scheduling
Connecteam shows up in every crew scheduling listicle, and it is genuinely good software, but for a different problem. Connecteam schedules people to shifts: who works Tuesday, who swapped with whom, who clocked in. It does not schedule crews to jobs, and it has no concept of a job consuming two crews for three days.
Its pricing is honest and cheap: free for up to 10 users, then hub-based plans from $35 per month (Connecteam’s published pricing, 2026). If your problem is timesheets and shift swaps, buy it. If your problem is “which crews are open Thursday,” it never claims to answer that.
CrewTracks: tracking crews, not booking them
CrewTracks lives downstream of the decision this article is about. Once a crew is assigned, CrewTracks handles clock-ins, daily logs, photos, and production quantities against the budget. Useful, especially for subcontractors feeding payroll. CrewTracks’ own pricing page (2026) states an average around $20 per employee per month. It assumes the schedule already exists. It does not tell you what is open.
Spreadsheets: the incumbent nobody admits to
The real market leader in crew scheduling is Excel, which is why that r/Construction thread outranks every vendor. A sheet with one row per crew and one column per day is flexible, free, and understood by everyone.
Its failure mode is truth decay. The sheet is only as current as the last person who edited it, it does not talk to your CRM, and when a job moves, someone has to remember to move it in two places. Every install company we have talked to past 3 crews runs some version of this sheet, and every one of them has a story about two crews showing up to the same driveway.
The gap: real-time crew availability does not exist off the shelf
Lay the table out and a pattern appears. Dispatch tools schedule techs to time slots. Shift tools schedule people to hours. Tracking tools record what crews did. Nothing mainstream shows an install business its open crew capacity in real time.
The coatings owner said it flatly, after evaluating the field:
“We have not found this with one single CRM.”
What he wanted was almost embarrassingly simple to state:
“Hey, I have eight crews, so I should have eight slots open a day. Tell me how many slots are not filled on my calendar.”
That sentence is the entire product gap. Full-day booking businesses (coatings, fencing, pools, decks, garage doors, turf) need a capacity view, and the industry keeps selling them a dispatch board.

What to actually do, by crew count
The right answer changes with size, so here is the honest decision guide.
1 to 2 crews: Jobber is fine. Full stop. At this size the owner is the scheduler, the whole schedule fits in your head, and the calendar is a notepad. Spend your money on lead flow, not scheduling software.
3 to 8 crews: you are inside the gap. This is where the click-each-day ritual starts, the shadow spreadsheet appears, and double-bookings begin costing real install days. The tools in the table above do not solve this stage; they either undershoot it (dispatch calendars) or overshoot it (an enterprise platform migration). 8+ crews or multiple branches: you are already paying for the software you do not have, in salaries. At this size companies stop fighting the calendar and hire humans to be the capacity view. The same owner, on what his industry peers do:
“All these companies are hiring schedulers for 50, 60K a year per branch, maybe multiple… They’re probably spending half a million dollars in schedulers a year instead of the CRM just doing it for them.”
A scheduler at $50K to $60K per branch is human middleware between your CRM and your crews. Some of that role is judgment and always will be. But the part that is “look at every calendar and figure out what is open” is exactly the part software should have been doing all along.
The short version
Buy Jobber or Housecall Pro for the CRM, not the crew view. Buy Connecteam for shifts, CrewTracks for site tracking, and know what each is. Take ServiceTitan’s crew product seriously only at enterprise scale. And accept that the Excel thread ranks #1 for a reason: the industry has not shipped the capacity view install businesses need.

Dispatch assigns one tech to short time-window visits, typically 4 or 5 stops a day, and optimizes routes between them. Most field service software is built for dispatch, which is why it struggles the moment your unit of work becomes a crew-day instead of a time slot.
