How the math works
Your monthly cost is the base fee plus your seat count times the rate per seat. The annual figure is that times twelve.
For the five-year total, we add your hiring number once at the start of each year and charge the full year at the new seat count. Year one runs at your current seats plus one year of hiring, year five at your current seats plus five years of it. Nobody leaves.
It assumes your rate per seat never goes up. It usually does. Treat the five-year number as a floor, not a forecast.
There is no discounting for the time value of money, and no setup or migration cost included. Both would push the real number higher.

The honest answer is that per-seat software is the right call for plenty of shops. It stops being the right call when the platform cannot do the thing your business actually runs on, and you are paying more every year for the parts you do not use.

Questions about per-seat pricing
Per-seat pricing charges you for every person who logs in, every month. Most field-service software includes a set number of seats in a tier, then bills an overage for each one past it. The bill is tied to headcount, so it rises every time you hire and never comes back down when someone leaves unless you remember to remove them.
Usually somewhere between 8 and 10 people. That is where most included-seat tiers run out and the overage begins, and it is the most common reason shops start looking at alternatives. Below that the included seats absorb your growth and the pricing feels flat.
ServiceTitan does not publish pricing. Third-party 2026 estimates put it around $245 to $500 per tech per month depending on tier, plus a one-time setup fee that operators report between $5,000 and $50,000 depending on size. Those are operator-reported figures, not published rates, so treat them as a range and get your own quote.
Sometimes, and often it is not. A build is a large cost once instead of a smaller cost forever, so it depends on how many seats you are carrying, how long you plan to run it, and whether an off-the-shelf tool already does the job. If a tool you can buy fits how your shop works, buy it. Building pays off when the software cannot do the thing your business actually runs on, or when per-seat cost has outgrown what the software does for you.
